About the Role

Imagine Gymnastics Club is seeking an Administrative Assistant. The role of this position is the administration of day to day business and event planning for the Gymnastics Club including some financial responsibilities. This is primarily a remote position however the successful candidate must be able to work at either gym (Carstairs and Olds) occasionally when necessary.

 

About the Role:

  • This position will work 20-30 hours per week depending on the time of year.
  • Candidate must be available day-time hours for administrative work as well as occasionally during evenings and weekends.
  • Reports directly to the Board of Directors and works closely with our Competitive and Recreational coaching and other Administrative staff.
  • This is a contract, hourly position.

General Responsibilities:

  • ​Assist in managing and completing registrations for all recreational and competitive programs as well as administrative tasks related to.
  • Answer and respond to telephone calls, emails, walk-ins (when in the gym). Manage voicemail, sort mail and emails
  • Be available to cover as the adult or additional adult in the building if necessary.
  • Maintain office and cleaning supplies.
  • Assist with creating advertisements for recreational programming and monitor for advertising opportunities.
  • Responsible for contacting, landlord and/or contractors to schedule appointments for any maintenance that needs to be completed, assist with Fire Inspections.
  • Assist Coaching staff and Board as needed.
  • Take the key role in organizing and planning our annual Hay City Classic Meet and Showcase in conjunction with the volunteer planning committee, coaches, board and administrative staff.
  • Other duties as assigned by the Board of Directors.

Qualifications and Experience:

  • Certificate or diploma in Office Administration preferred
  • Knowledge of Not-for-profit organizations, corporate filings
  • Work experience in customer service and office procedures
  • Excellent communication and organizational skills
  • Flexibility to work irregular and extended hours as required
  • Adaptability, professional and pleasant demeanor
  • Ability to work independently, efficiently and be a motivated self-starter
  • Able to deal with concerns in a discrete and confidential manner while serving a diverse membership
  • Knowledge and experience in administration, coaching certification or understanding of gymnastics is ideal but is not a requirement
  • Experience with Google Drive/Docs, Uplifter and Sportsoft programs an asset
  • Police and vulnerable sectors check required
  • Drivers license and reliable vehicle
  • First Aid certification is a plus
